Transcription Services >> FAQs

We have created a very comprehensive and detailed list of FAQs to provide you with as much information as possible to answer any questions that you might have.

Q.How do I dictate?
A.You choose whatever works for you! We offer a state-of-the-art digital dictation system that is accessible 24 hours daily from any touch-tone telephone. Each facility is assigned a facility level code and individual dictators are each assigned a 5-digit PIN that they use when accessing our call-in system.

If you have your own dictation system, we also have the ability to rerecord from dictation systems such as Dictaphone, DVI, Lanier, and RTAS. You can also choose to use digital recorders and upload the dictation to us.

Regardless of what options you may choose, HIS provides support to help you get started and to resolve any problems you may face.

Q.Do I need any special equipment?
A.All you need is a Windows 98, Windows 2000, or Windows XP computer to access your account on our secure web site for retrieving your reports.

Clients using digital recorders would also need access to High-Speed Internet connections (Cable-modem, DSL or T1 lines) for uploading files from the recorder. For those calling in, a dial-up Internet connection is sufficient.

Q.What are the advantages of using a Digital Recorder?
A.You do not need to be near a phone and you can dictate on the go
You upload your dictation to our website in a single batch using a high-speed Internet connection after all of your daily dictation is completed or in multiple batches several times a day if you choose to do so. A recorder is most suitable for reports of length 15 minutes or less You can dictate or upload to our website at any time - 24 hours/day, 7 days/week.

Q.What digital recorders do you support?
A.We support most well known recorders such as Olympus, Sony, Philips and Palm Tungsten, among others.

Q.What are the advantages of using your toll-free dictation system?
A.You can dictate at any time, 24 hours a day, 7 days a week from any landline telephone, including cordless instruments. Mobile phones are discouraged since static can distort sound quality.
You can retrieve your transcribed reports via a dial-up Internet connection; you do not need to have high-speed access.
You can dictate reports of any length, and can dictate multiple reports in the same telephone call.
You can make changes in an already dictated report or dictate an addendum to make the changes.

Q.What is the turnaround time?
A.Our standard turnaround is 24 hours and is measured as beginning from 6 p.m. on the day of receipt of dictation and ending at 6 p.m. the following day. Typically we return the work well before 24 hours, but for turnaround purposes any dictation received after 6 p.m. is considered the following day's work.

We also offer turnaround of 4 to 48 hours depending on your requirements and the agreed upon terms.

Q.Do you offer Stat Transcription Service?
A.Currently the fastest turnaround that we offer is 4 hours.

Q.Can I dictate on the weekends?
A.You absolutely can dictate on weekends. Work dictated on a Saturday or Sunday will be returned on the following Monday!

Q.How can I make changes to a report?
A.All reports are returned electronically, so clients can always make minor changes on their own. Major changes can be dictated as an addendum or faxed to us.

Q.What if I have a special request or need a report back earlier than scheduled?
A.You can contact customer service by e-mail or phone with your special requests. We will return your reports as soon as you need them!

Q.How will you keep my data secure?
A.Given the sensitive nature of patient data, we have ensured a very high level of security of all information, with passwords, firewalls, restricted and controlled access to our databases, and encryption of all sound and text files. In fact, we exceed HIPAA requirements in terms of encryption standards.

Transcriptionists and other staff members are required to sign a confidentiality agreement upon hire. The transcriptionists who handle your data know that all patient and client information is to be held in the strictest confidence. We have never had a breach of any of our confidentiality agreements.

Q.How much does the service cost?
A.Our rates are very competitive with other services offering comparable accuracy, consistency, and turnaround times. Rates depend on the level of service requested including turnaround times, mode of dictation and volume. Charges are determined by the 65-character line.

A.Please click through to Medical Transcription Quote and fill out the short form to receive a quote by email. Alternatively, please contact sales@doctranscribe.com for a quote.

Q.How and how often am I billed?
A.Invoices will be e-mailed to the primary mailing address used during account set-up. Depending on the volume of business transacted, invoices are raised either monthly or biweekly and are due upon receipt. Our standard method of payment is by check, but payments can be arranged through PayPal for a slight premium.

Q.Do you have references that I can contact?
A.We do provide references when requested. However, to reduce the burden placed on our referring physicians and hospitals, we prefer not to do this until you have completed a successful trial.
